Exchange Account Types

Exchange Account Types

There are two primary types of accounts available on the Exchange server: Full Exchange and Calendar-Only. The descriptions below explain the functionality of each type to help you decide which account will meet your needs best. One difference to keep in mind is that email for Full Exchange accounts is delivered to the Exchange server, whereas email for Calendar-Only accounts is delivered to the VT Google Apps Mail. You can request either of these Exchange account types using Hokies Self-Service.

Besides meeting your own email and calendaring needs, there are also two Exchange account types available for other cases: Sponsored accounts and Resource accounts. Either of these types of accounts can be used as Full Exchange accounts or Calendar-Only accounts, however you can only obtain these accounts through 4Help.

Full Exchange Accounts

Full Exchange accounts are for those who want to integrate email, appointments, tasks, contacts, and public folders in one comprehensive location. To take advantage of these groupware properties, use a full-featured client such as Microsoft Outlook or Ximian Evolution with Connector. If you prefer using another client for your email (such as Windows Mail or Mac Mail), you can do so, but you will lose some of the groupware functionality.

Important: As instructed in the Obtaining a Full Exchange User Account on the Virginia Tech Exchange Server article above, it is strongly recommended that you set your VT Google Apps Mail account to forward to your Exchange account once your Exchange account has been created. This will allow full email integration and minimize confusion. The address to use when setting the forward is [Your Hokies ID]@exchange.vt.edu. Once the forward is set, you can still use [Your PID]@vt.edu as your email address. For instructions, see Enabling or Disabling Forwarding from Your VT Google Apps Mail Account.

Calendar-Only Accounts

Calendar-Only accounts are for those who would like to use the Exchange calendar service, but want to continue to receive email on the VT Google Apps Mail server. This account type allows you to access your calendar with Outlook or WebOutlook. The Exchange server automatically forwards all email for a Calendar-Only account to the appropriate account on the VT Google Apps Mail server.

You can convert from a Calendar-Only account to a Full Exchange account at any time, preserving any existing calendar data. For instructions on converting your account, read Switching from Calendar-Only User to Full Exchange Account.

Other Available Accounts

Sponsored Accounts

Sponsored Exchange accounts are generally for visiting faculty, student workers, and others who are temporarily affiliated with the university. These accounts can be set up as Full Exchange or Calendar-Only accounts, depending on how the account will be used. For more information, read the Sponsored Accounts section of Organizational Units in the Hokies Domain (PDF file, 47KB).

To request a sponsored Exchange account, ask your Hokies Organizational Unit (OU) administrator or your dean, director, or department head to submit the following information to 4Help using the Help Request Form:

  • The type of sponsored account requested: Full-Exchange or Calendar-Only (For information about sponsored Hokies accounts, see the Sponsored Accounts section on the Hokies ID page.)
  • The name and PID of the person needing the account

Resource Accounts

Resource accounts can be used for rooms, mobile resources (such as automobiles or equipment), and services. These accounts can be set up as Full Exchange or Calendar-Only accounts. To request a Resource Account, ask your Hokies OU administrator or your dean, director, or department head to send the following information to 4Help using the Help Request Form:

  • Type of Resource account: Full Exchange or Calendar-Only
  • Name and PID of the person responsible for the account
  • PID of each person associated with the account
  • Account's display name
